Instructions for Presenting Free Work

The Scientific Committee for the 5th Perinatology in Developing Countries World Congress and 26th Colombian Obstetrics and Gynaecology Congress has the pleasure of inviting all people interested in presenting free work during the congress; such work can be presented as an oral presentation, poster or video.

* The inscription process

1. Research work in the different specialities involved in dealing with sexual and reproductive health may be presented, but identifying whether such work was done in the area of obstetrics or gynaecology.
2. If the work has been presented at other national or international congresses/conferences, then this must be stated on the inscription form (see below).
3. The summary must be sent before 6pm on the 4th April 2008for the work to be considered; it must be sent by e-mail to the following address: trabajoslibrescongreso@fecolsog.org,
specifying the type of presentation which it is intended to make. If the desired format is video, then this should be sent together with the summary.
4. The summary must comply with the rules specified for filling in the form.
5. No work will be accepted following the date and time limit given for inscriptions.

*Rules for filling in the summary inscription form

1. Language: English
2. Type of font: ARIAL.
3. Font size: 11.
4. The content of the summary must not exceed 500 words, including the title, authors’ names and institutions and key words; we recommend using the word-count tool in the Microsoft Word toolbar. It must not contain Tables, Figures or special characters.
5. The summary must comply with the following format:

Title: this must be givenin bold capital letters. It must be concrete, complete and indicate the content. It must not contain abbreviations.
Author(s): The surname and initials of Christian names for each author, maximum 6 authors. A means of contacting the main author (e-mail, telephone) must be included.
Institution: The name of the institution, city, state or province and country must be included.
Introduction: The objectives of the work must be clearly stated.
Materials and methods: The study’s design, target population, materials, procedures and statistical methods used must be described.
Results: The study’s mostrelevant findings must be given.
Conclusion: This must bedirectly related to the stated objectives.
Key words: Up to three words may be given, succinctly describing the summary and thereby allowing it to be indexed.

* Identifying work

Mark the electronic file with the first two surnames separated by a dash accompanied by the initial letter of the main author’s Christian name, the abbreviation with the type of presentation (see inscription sheet) and the number of pieces of work sent. 
For example, if the main author is called Jorge Antonio Rodríguez Pérez and he has sent a piece of work for an oral obstetrics’ presentation and two more for obstetrics’ posters, then he would send the files identified in the following way:

Rodríguez - Pérez J OP1
Rodríguez - Pérez J OP2

* Selection process

1. The summaries will be evaluated by the congress’ scientific committee for defining whether such work can be accepted.
2. The scientific committee will deliver a list of the work which has been accepted to the organising committee, stating in which format it is to be presented.
3. The organising committee will notify authors of the committee’s decision before the 1st of May 2008.
4. All summaries accepted will be published in a special supplement of The Journal of Perinatal Medicine, the World Association of Perinatal Medicine’s official journal.
5. The authors must enrol themselves in the congress during the week following being notified of their acceptance.

* Presentation process

1. Oral presentation: A maximum of 10 slides in Microsoft Power Point may be presented; 4 minutes will be set aside for the presentation and 1 minute for answering questions.
2. Posters: poster size must be 70cm x 100cm, vertical orientation. The author must be present near the poster on the date and at the time so assigned.
3. Videos: Maximum duration will be 5 minutes, in a format which is reproducible in Windows Media Player. It must include the title, authors and institution at the beginning.
